Developing Grant Budgets
Before your grant project is signed off by the Dean, Vice President, and President the following considerations should be accounted for in your budget. Although sometimes these costs are estimates, the budget developer should try to make the figures as accurate as possible so there are no major changes to the project after it is awarded.
Fiscal Impact
Does it have cost repercussions to the District?
- Matching funds: How will the district match the percentage required by the granting institution?
- Institutionalization: Will the district need to take over the program(s) and/or staff position(s) originally funded by the grant?
- Overhead costs: marketing, accounting, administrative assistance, staff time
- “Fringe” Benefits: Benefits added on to salary dollars
Human Resources Impact
- Staff: Does it require hiring a new staff person(s)?
- Can a current employee be reassigned to grant responsibilities?
- Will use of a faculty member adversely affect our 50% calculation?
- Will the district be committed to a regular full or part time position after the grant expires?
- Hiring: What hiring procedures have to take place and how long will they take? (Do Ed. code hiring laws apply to this position?)
IT Impact
- Equipment:
- What equipment is needed?
- Can district employees service that equipment?
- Service: Is there a service contract available? Is it included in the budget?
- Timing: How quickly can equipment be purchased and installed? (i.e., within allotted grant period)
Facilities Impact
- Space:
- Where will grant project be operated?
- Are there office or other space implications?
- Timing: Are there moving or set up requirements? What are the timing aspects with relation to the grant period?
Strategic Impact
- Does this project/program fit within the district’s strategic plan?
- Does it fit now? (Is this the right time to implement the grant activity?)
