Expanded Conference Calls

Large conference calls of up to eight parties can be accomodated by the expanded conference feature of the telephone system. The eight participants can be any combination of inside and outside parties. The expanded conference feature is always available as a special extension number of the system, except when locked by an active conference. You can think of this number as an open room ready to be entered unless it has been closed by someone already using it.

Any station can establish an expanded conference call. It is basically no more than dialing an extension. However, a conference leader must coordinate the conference for two reasons. The leader must set the time and notify the parties. The leader can also control the access to the conference so that uninvited parties cannot listen in. The conference leader should coordinate the following:

Advise each party to the conference of
  1. the time they should enter the conference line
  2. on campus (inside) parties must dial "5340" to enter the conference line
  3. outside parties must dial (510) 659-6000 ext. 5340 to enter the conference line
  4. all parties must identify themselves immediately on connection. Entry to the conference is unobtrusive and parties will not know someone has entered unless they speak.

The conference leader dials extension "5350 " to enter the conference line and can enter at any time during the call. This extension gives the leader special control over access to the conference. The leader is not required to be the first caller into the conference line, but it is advisable. The leader should immediately identify him/herself as the other callers are advised to do.

The conference leader is the only user in the group with the ability to lock out additional callers. When all parties to the conference call are on the line, it is important to activate the lock out feature to insure privacy. To do this, the leader first determines that all parties are on the line and then dials zerozero (zero twice).

The conference leader may not be interested in participating in the call. If this is the case, once the call is established and the lock out feature code is dialed (zerozero) the leader may disconnect by hanging up.

A unique feature, available only to the conference leader, is the ability to disconnect the entire conference call. This is accomplished by dialing the pound (pound) key. Please remember, only dial the pound key if you want to disconnect all callers in the conference call.

There can be only one expanded conference call at a time. Therefore, it is recommended that you advise the Information desk operator of your conference well in advance.

It is recommended that you make a practice call before you are required to make the real call.
