Review the 4/23/2002 Agenda

Update: the Weather link

Walt Birkedahl and Gary Kauf stated:

Ohlone College Television is an official weather station for KPIX Channel 5. We supply them with all the data that is gathered here. They actually get the info via a dedicated phone line however, the website is their backup. In other words, we should keep the weather information available on the website if at all possible.

So, the Weather link will stay on the website and will be assigned to the appropriate portal page(s).

Introduce Person Joining Web Team as Student Assistant

Paula Cassano was introduced as the student assistant joining Cheryl on the Web Team. She starts July 2nd and may be doing some volunteer work for the Web Team in June to convert the Admissions & Records website to the new design as a sample site.

Finalize Approval by WTF of…

The WTF approved the Web Proposal and Web Page Guidelines documents. Links to these documents and the Website Portal Page Organization Plan will be emailed to TACO members.

4/26/2002 UPDATE:

TACO approved these documents unchanged.

4/30/2002 UPDATE:

Cabinet approved these documents unchanged.

Discuss OpenSSH Program for Secure File Transfers

Tj Webb provided an overview of the secure file transfer program which will make Zope training unnecessary for Division/Department websites that will keep the distributed model of website creation/maintenance (i.e., not managed by the Web Team).

This frees up weeks of time that Cheryl estimated needing for preparation of training materials for Zope and actual classroom training of faculty and staff site updaters throughout the campus.

The secure file transfer program:

  • provides secure transfer of files from computer to web server
  • provides the ability to transfer multiple files
  • provides drag 'n' drop transfer of files
  • fits into the IS Department's goal of a single sign-on to the network
  • will work with LDAP roles to allow access to Division/Department sites

We have a site license for this utility. This means that it is licensed for use only on-campus. Other OpenSSH clients (programs) for Windows and Mac are available for off-site use (i.e., at home) and we will provide information about this clients and where to get them on the Web Development website.

Review a Working Demo of the New Site Design With Example Portal Pages

The new site design was approved with some minor changes:

  • Change "Divisions/Departments" to "Departments" (this change leaves room in the navigation bar for the next item)
  • Add "Library" to top horizontal navigation bar (Cheryl had removed it when "Newark Center" was added)

4/26/2002 UPDATE:

TACO approved the site design with the following changes:

  • Change "Departments" to "A-Z Index" since the A-Z listings will contain more than just Division and Department information
  • Add "Resources for:" above the side navigation for audience types. This will help clarify the meaning on the side navigation menu options.
  • (added 5/3/2002) Change "Visitors & Friends" to "General Public" in side navigation for audience types.

These changes were made prior to the 4/30 Cabinet meeting.

4/30/2002 UPDATE:

Cabinet approved the site design.

The Final Site Design

The images to be used in the header have not been decided on yet. The header image will be unique for each day of the week. The footer will have some minor changes.

Discuss Two Model/Example Websites

In June, the Business & Technology (an academic site) and Admissions & Records (an educational services site) websites will be converted to the new site design using the temporary templates created with Dreamweaver. Then, in July or early August, they will be converted to the Zope templates.

These two sites were chosen because information on those sites is already updated with only a minor amount of information needed to meet the requirements of the Web Page Guidelines.

Review Additional Phases of the Website Project

Cheryl reminded everyone that she doesn't want to lose track of some of the ideas we had but which didn't fit into the first phase of the website project. So, send those her way as you remember them!

Collect Printouts of the Website Portal Page Organization Plan

No additional documents were ready to be collected.

It is understood that changes to the portal pages will occur after people see the new site design and portal pages *live* on the site near the end of May.

Disk Space Quotas

Tj will look into disk quotas for websites on the Ohlone server so that disk space on the web server can be managed and planned for.
