Hello, all - This is my bi-weekly status report to you about progress made to date on the web site project. Attached is Draft #2 of the Web Page Guidelines for your review. We can discuss modifications at Tuesday's meeting (3/26) and then the document will be presented to TACO on Thursday (3/29). Below are notes from last week's meeting with Doug Burns. Here are notes from the meeting: * Shirley has agreed to be the Project Manager for the web site conversion from the NT server to the Linux servers. * We will use a development/staging server and a live/production server. These will have the same configuration: Linux operating system, Apache web server, etc. * We will use Zope as our web content management system. * The home page and portal pages can be implemented before we move to Zope and the Linux server. * Tj and Cheryl must become thoroughly comfortable with Zope before templates, roles/permissions, and procedures for using Zope can be developed. * The IS Department (and Tj) has other projects they are working on, including a new email server. * Doug does not know of any databases in use on the NT server. This is good since it means one less pre-migration task to complete. * All CGI scripts in use on the NT server must have replacements in place before the migration can occur. This includes the "Business Card" script and the Staff Directory script (they'll probably be combined) and the email-form-data script. * On the Linux server, a "dead link" CGI script may be put in place to email webmaster@ohlone.cc.cs.us when a 404 File Not Found error occurs (this will help identify dead links so that the Web Team can have them corrected). * How to handle requests for Perl scripts to be installed on the Linux server requires investigation by the IS Department. This involves security, maintenance, and server performance issues. * It may be necessary to place a quota on the amount of web server disk space that can be used by any one group/organization and a restriction on the type of content (file types) that can be used. This will help ensure we don't outgrow the web server's configuration too fast. * How multimedia and other specialized content is handled on the Linux server requires investigation by the IS Department. This involves security, maintenance, and server performance issues. It may be possible to use a separate web server for large/special multimedia files/sites. * The "online" server manages WebCT and its content, as well as hosting instructional classroom materials for some instructors for their on-ground classes. Doug sees this as being the purpose of the "online" server and may not want this instructional material moved to the Linux server. In the meantime, no decisions have been made to move the content to the Linux server. * Doug indicated that all employees are part of the Ohlone family and that removing Staff web pages would not be a good idea. It was tentatively decided that (1) existing Staff web pages would be migrated to the Linux server, (2) Staff would need to get permission from their Dean to receive Zope training and a Zope account, (3) "under construction" pages and directories with no files in them will not be migrated, and (4) (possibly) pages not modified within X months (6 months, 12 months, whatever) would be removed from the Ohlone web site. * The exact steps for moving the web site from the NT server to the Linux server need to be worked out. It will involve a "freeze" to changes on the web site while pages are cleaned-up and brought into Zope. The web site will continue to be viewable during the freeze and migration time period. * The two Ohlone domain names (ohlone.cc.ca.us and ohlone.edu) will *both* bring up the Ohlone web site once the move to the Linux server is complete. How email accounts will be changed to ohlone.edu is separate from the web site project and will be managed by the IS Department. * All creation, maintenance, testing, and validation of web pages will occur on the development/staging server. * The Web Team will copy pages from the development server to the live/production server after they have been tested and validated by the creator/maintainer of the pages. People who have an as-yet-undetermined level of understanding about web technologies and who can pass an as-yet-undetermined test may be given permission to copy their own files from the development server to the live server. * All files on the web site will be brought into Zope when the web site is moved to the Linux server. This allows us to take advantage of Zope's user management capability by creating roles to provide permissions. Users can use Zope's one-file-at-a-time file upload feature (which is equivalent to the functionality provided by Publisher's Workbench). Alternatively, if a secure method of transferring files into Zope can be worked out, multiple file transfers can be done. Bringing all web site files into Zope requires a training program for people who currently maintain pages on the web site. The training materials and program will be created by Cheryl and Tj. People must attend a training session before a Zope account will be created for them. Timeline Information * Beginning of June 2002: Existing servers will be repurposed as the Linux web servers (this means moving applications and clean-up by the IS Department). The Linux web servers will be "burned-in" by the first week of June 2002. * Mid-July 2002: Completion date to complete the migration of all web site files into Zope on the Linux server. * Mid-August 2002: Training workshops to learn how to use Zope to manage existing files will start mid-August 2002 when the Fall semester starts. * A Flex presentation is planned during the Flex days in August. This presentation will not replace attendance at a workshop. It is meant to introduce new procedures for the web site, including Zope.
