Hi, everyone! - Thank you all for your efforts on the committee. I will be summarizing yesterday's meeting in a "Cheryl's Notes" page on the WTF site. It came to my attention yesterday that some of you may be unfamiliar with Excel files in that they can contain *multiple* worksheets. (The Excel file is also available on the WTF web site on the "Meetings & Documents" page - direct link: http://www.ohlone.cc.ca.us/people/clambert/wtf/misc/20020404WebSiteOrganization.xls .) I wanted to provide this mini-tutorial about how to move around in, print, and review the information in this Excel file. Overview -------- The Website Portal Page Organization document I emailed to WTF members last week contains 26 pages in 13 worksheets (BecomAStudent, CurrStudents, Faculty, Staff, Vis&Friends, BusInd, AboutOhlone, CampusConnection, Committees, Directory, DivsDepts, Depts, NoLinks). Worksheets can be viewed by selecting the named tabs at the bottom of the Excel window. There is a worksheet scrollbar on the LEFT side of the tabbed area. Printing -------- You can print all 26 pages of the document by: 1. selecting *all* spreadsheets to be printed: * click on the first tab (called BecomAStudent) (it is now highlighted) * use the worksheet scrollbar on the LEFT side of the tabs to make the last tab visible * then SHIFT-CLICK on the last tab (called NoLinks) * each tab should now be highlighted 2. selecting File > Print (or selecting the print button in the toolbar) Organization ------------ For the most part, the document is organized so that each worksheet is a different portal page. [NOTE: You can *IGNORE* the URL information in the right-hand column of the pages.] On each portal page, there are categories (About Ohlone, Admissions Information, CampusConnection, etc.) and under each category are the names for LINKS to pages containing that information. For example, the beginning on the BecomAStudent worksheet looks like: = = = = = = = = = = = = = = = = = = = = = = = = Becoming A Student - Portal Page About Ohlone Contact Information Maps Newark Ohlone Center Parking More Information (link to About Ohlone page) Admissions Information Academic Calendar Admissions & Records Department Home Admissions & Registration Apply for Admission High School Outreach Matriculation Online Application for Admission Register for Classes Online Registration Study Abroad Summer Programs = = = = = = = = = = = = = = = = = = = = = = = = In the above example, there is a category called "About Ohlone" which has links called: Contact Information Maps Newark Ohlone Center Parking More Information The "More Information" link will display a new page that contains a more complete list of links about Ohlone -- the contents of that page in the "AboutOhlone" worksheet in the Excel file. Here's a description of the purpose for worksheets that may be less clear as to their purpose: * The "CampusConnection" worksheet *WON'T* be a separate page -- it will be incorporated into the other pages (putting it in its own worksheet was a easy way to update this section). * The "Committees" worksheet is a list of all committees at Ohlone -- committees without links are marked "(no link)" which is a note to me that there isn't a link for them now -- all committees on campus (whether or not they have links) will continue to be listed on a Committees page. * The "Directory" worksheet is the portal page for the directory to find people on campus. * The "DivsDepts" worksheet is a list of all Divisions/Departments/Academic Programs that will be listed in the A-Z listing on the "Divisions/Departments" portal page. * The "Depts" worksheets was taken directly from the existing Departments of Study page -- I should have called this worksheet something like "Academic Programs". * The "NoLinks" worksheets is a list of items that *do not* have links on some of the current website pages. Your Review ----------- To produce this 26-page document, I reviewed other college sites. I need your fresh eyes to review the links under each category on each portal page: 1. to add what I have missed 2. to correct information 3. to remove links that don't pertain to Ohlone (since I also lifted info from other college sites), and 4. to *REDUCE* the amount of links to what is *necessary*. The portal pages are intended to include links to high-level and most-often-looked-for information, not *everything* available at the college. Please make your modifications to a printed copy of the 13 worksheets and send it to me by Monday next week so I can update the document.
