DISBURSEMENT DATES

We make every effort to maintain the published disbursement schedule; however, it is subject to change.

CREDIT BALANCE DISBURSEMENTS: Please be aware that schools have up to 14 days from the time your funding is applied to your student account to release your funds. Although we try to get these credit balances to students within 2-3 days after funds are applied to your account, we may experience some unforeseen circumstances that could hold up this process. Funding will ultimately be released by no later than the 14th day.

COURSES ACTIVELY ATTENDING: Please be aware that all funding will be disbursed based on courses that a student is actively attending. Courses that have not yet started, will not be calculated in the disbursement amount. 

DEGREE AUDIT: All student courses are evaluated to determine if each course is applicable to the completion of a students program. Courses that are not part of a students program of choice, or any additional courses needed for transfer, are not courses that are covered with Federal financial aid. Other Financial Assistance may be used to cover these courses.

Each semester's Pell Grant (GP) is divided into 2 equal portions according to the schedule below, or all at once if completed by the 2nd Disbursement Date. The schedule assumes that your financial aid file is complete (that is, you have no missing documents) at least a week before the disbursement date. PELL grant disbursements are based on your locked enrollment status at the Financial Aid census date every semester (e.g. full-time, three-quarter time, half-time, less than half-time). See the Important Dates to determine your enrollment status at the census date. Please keep in mind that the FA census date is different from the Institutional census date.

Pell Grant Recalculation - All courses must have begun in order for Financial Aid to calculate them in your disbursement amount. Students total award received for the semester will be based on the total units a student is registered for at the time of the Financial aid census date, which is always a month after the start of a full semester (Fall, Spring). Any units registered for after the Financial Aid census date will not count toward aid eligibility for the semester. All aid will be adjusted if a students unit amount increases or decreases prior to the Financial Aid census date.

If you withdraw from a course after the census date, it will not affect your enrollment status for financial aid purposes, but the withdrawal will still count in your Satisfactory Academic Progress (SAP) calculation. If you register for a course after the census date, it will not be counted toward your award eligibility. However, if you withdraw from ALL your Title IV courses for the term, you may be subject to Return to Title IV and may owe financial aid funds back.

Only 1 disbursement per semester. Students must maintain enrollment in at least 6+ units at the time CAL Grant funding is disbursed.

Cal Grant funds are received from the state of California on an on-going basis and awards are certified for students as the funds arrive. The Financial Aid will start disbursing Cal-Grants on 09/28/21 but you may not receive a disbursement on that day.

  • Initial Disbursement made at Census, the award will be disbursed once per semester based on the registered credits as of the FA Census Date.
    • The initial Cal Grant disbursement will be awarded the week of the FA census date
    • Classes added after FA census date will not be counted toward the unit total when calculating your award.
    • The award will be prorated based on student active enrollment at the census date. Must be actively in 6 units for awards to disburse.
  • Initial disbursement made after Census, the award amount will be based on student’s enrollment at the time of census excluding classes registered after FA Census Date.
    • If a student is added to the roster after census (late add to roster) due to circumstances outside of the school’s control such as competitive award recycling, school change initiated by the student, etc., payment is based on enrollment at the time of disbursement.
  • Initial disbursement made after term completion, the award will be based on the number of units completed for the term.
    • Make up disbursement may be made if there is an increase in enrollment level from part time to full time for late start class enrolled before or by FA census date.

Enrollment must remain at 12+ units at the time SSCG funds are disbursed.

Must be enrolled in Title IV units at the time FSEOG funds are disbursed.  One Payment is made per semester and funds are awarded on first comes,first served basis to students who have zero EFC and meet the priority deadline. If there is remaining funding, we will then award those students with the lowest EFC first.

Each semester's Student Loan is divided into 2 equal portions according to the schedule below. The schedule assumes that your financial aid file is complete (that is, you have no missing documents), and that you have completed all necessary documents in order to disburse a federal student loan (Master Promissory Note, Entrance Counseling, and your assigned Grad Ready Modules). You must be enrolled in at least 6 Title IV credits at the time of Disbursement. Financial Aid census date does not apply to student loan disbursements.

  • New loan (NL) borrowers will be disbursed at least 30 days after school starts.
  • Repeat loan (RL) borrowers do not need to wait 30 days.

Students who are citizens of the Freely Associated States-the Federated States of Micronesia and the Republics of Palau and the Marshall Islands are eligible for Pell Grants (citizens of Palau are also eligible for FWS and FSEOG), but are not eligible for federal direct student loans.

Enrollment status, as well as GPA varies based on the Scholarship Criteria. Student must have a completed FAFSA or CADAA application to be eligible for these types of Aid.

Outside Scholarships

  • Once the funds have been received, the award will be updated on the student’s award letter.
  • Funding is transmitted through BankMobile and funded within 1-2 Business days

ENROLLMENT STATUS

Financial Aid Enrollment Statuses are the same for every semester: Fall, Spring, and Summer.

Full Time 12 credits or more
Three-quarter (3/4) time 9-11.5 credits
Halftime (1/2) 6-8.5 credits
Less than halftime (<1/2) 0.5-5.5 credits

 

How can I receive my refund?

Students whose files have been completed and meet all eligibility requirements, including meeting Satisfactory Academic Progress, will have their awards released. Students can view their Financial Aid offer letter on your MyOhlone, and must Accept or Deny any of the awards presented to them, as well as sign their offer letter for funding to be disbursed to their student account.

IMPORTANT REMINDERS

  • Late start classes: You must be actively enrolled in late start courses in order for those units to be included in the disbursement. Make up disbursement will be disbursed to include late starting classes if there is an increase in the enrollment status.
  • Remedial units: Ohlone allows up to 30 remedial units to count toward your enrollment status. Units that exceed the maximum 30 units will not be included in the determination of the enrollment status.
  • Course 3rd repeat: Prior courses attempted and completed with a passing grade ("D" or higher) will not be included in the determination of the enrollment status if attempted for the third time.
  • ESL: ESL courses are not counted against the 30 remedial units that a student can take.

WARNING: To accept Federal financial aid at more than one institution, for the same enrollment period, is illegal. You will be required to repay the funds.

Fraud Policy

A student who attempts to obtain federal financial aid by fraudulent means will be reported to federal, state, and campus officials for prosecution. Such actions are, therefore, subject to Student Disciplinary actions and suspension of receiving financial aid for unsatisfactory conduct.
